Privacy Policy

This policy explains how Delancy CPA, PLLC ("Delancy CPA," "we," "us," or "our") collects, uses, shares, and protects information in connection with our website and our professional tax and accounting services.

Last updated: June 2026

1. Scope of this policy

This policy applies to information we collect through www.delancycpa.com (the "Site") and through inquiries you submit to us. It also describes, at a high level, how we treat the confidential information of clients we engage. It does not change the terms of any signed engagement letter, which governs our professional relationship with a client where the two might differ.

2. Information we collect

Information you provide

When you request a consultation, email us, call us, or otherwise contact us, you may provide information such as your name, business name, email address, phone number, country and entity structure, and a description of your tax situation. If you become a client, we collect the additional information needed to perform the engagement, which may include tax identification numbers, financial records, and identity documents.

Information collected automatically

Like most websites, our Site and its hosting and analytics providers may automatically collect limited technical information such as your IP address, browser type, device information, pages viewed, and referring page. This information is used to operate, secure, and improve the Site.

Cookies

The Site may use cookies and similar technologies for basic functionality and, where enabled, analytics. Most browsers let you refuse or delete cookies; doing so may affect how parts of the Site function.

3. How we use information

  • To respond to your inquiries and provide the consultation or services you request;
  • To prepare proposals, engagement letters, and the tax and accounting work we are engaged to perform;
  • To communicate with you about your matter, deadlines, and our services;
  • To operate, secure, maintain, and improve the Site;
  • To comply with our legal, regulatory, and professional obligations.

4. How we share information

We do not sell your personal information. We share information only as needed to operate our practice and as permitted or required by law, including with:

  • Service providers who support our practice (for example, website hosting, secure document portal, e-file transmission, scheduling, and email providers), who are permitted to use the information only to provide services to us;
  • Tax authorities and others you authorize, such as filing your returns with the IRS or state agencies, or coordinating with an advisor you direct us to work with;
  • Legal and regulatory recipients, where disclosure is required by law, subpoena, or professional standards, or to protect our rights or the safety of others.

5. Confidentiality of client tax information

As a CPA firm, we are subject to professional and legal confidentiality obligations that go beyond a standard website policy. We treat client information accordingly:

  • Tax return information is protected under Internal Revenue Code §7216. We do not use or disclose the tax return information of clients except as permitted by law or with the client's consent.
  • As a financial institution under the Gramm-Leach-Bliley Act, we maintain administrative, technical, and physical safeguards designed to protect nonpublic personal information, consistent with the FTC Safeguards Rule.
  • We observe the confidentiality requirements of the AICPA Code of Professional Conduct and applicable Texas State Board of Public Accountancy rules.

6. Data security

We maintain reasonable administrative, technical, and physical safeguards intended to protect information against unauthorized access, use, or disclosure, including use of a secure client portal for the exchange of sensitive documents. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Please do not send sensitive information (such as tax identification numbers or financial account numbers) by ordinary email; use our secure portal instead.

7. Data retention

We retain information for as long as needed to provide our services, to comply with our legal, regulatory, and professional record-retention obligations, and to resolve disputes or enforce our agreements. Retention periods for client records are also governed by applicable professional standards and the engagement letter.

8. Your choices and rights

You may opt out of marketing emails at any time using the unsubscribe link or by contacting us. You may request that we review, correct, or delete personal information we hold about you, subject to our legal and professional record-retention obligations. Depending on your state of residence, you may have additional rights under applicable privacy laws (for example, the rights provided to Texas residents under the Texas Data Privacy and Security Act, or to California residents under the CCPA). To exercise any of these, contact us using the details below.

9. Third-party links and services

The Site may link to third-party websites and tools we do not control, including our scheduling form, our client portal, and external resources. Their privacy practices are governed by their own policies, and we are not responsible for them. We encourage you to review the policies of any third-party service you use.

10. Children's privacy

The Site is intended for businesses and adults and is not directed to children. We do not knowingly collect personal information from children under 13.

11. Where information is processed

We are based in the United States, and information we collect is processed and stored in the United States. If you contact us from outside the United States, you understand that your information will be handled in the United States, where data-protection laws may differ from those in your country.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be reflected on this page; your continued use of the Site after an update constitutes acceptance of the revised policy.
